If you are sharing Google Docs links through 5pm, you also need to make sure your users can actually open those links (by editing their sharing settings). But if not extra security is required and you just want to share a public document, without the need of your users to login into Google, there is a simple way for that:

  1. While editing your Google document, click “Share” on the top right and select “See who has access…”
  2. On the bottom on the popup form you will see the text “Sign-in is required to view this item.” text, click “Change” link by it and switch it to “Let people view without signing in”.

That’s it. Now anybody can access this link, without even having a Google account.

5pm speaks Slovak!

5pm translation project5pm interface is now available in Slovak! Special thanks to Aniko Ferenczi, Tamas Saha, Szilard Deak and Karoly Varga (GenParts.Eu), who helped with the translation.

All together 5pm speaks sixteen(!) languages now: English, Swedish, French, Russian, Spanish, Portuguese, German, Polish, Italian, Croatian, Dutch, Finnish, Danish, Serbian, Hungarian and Slovak!

Do you want to see 5pm translated into your language? Any 5pm user can contribute (including the free trial accounts) – just use the “Settings” menu on the top of your 5pm screen. There is a link there called “5pm Translation” that will take you to the public translation area.

We just added the auto-refresh function to our Time Tracker widget – now you don’t need to reload it anymore to see your new projects and tasks.

Linking Dropbox files in 5pm

Besides uploading your files to 5pm, there are many other outside storage options – Dropbox is one of them.

Dropbox.com offers a hosted file storage service (free up to 2Gb) and is a great tool for synchronizing files between different computers. You can also share your files with anybody through an unique URL. This same URL can be shared in 5pm through a message or task/project description. [continue reading…]

All together 5pm speaks fifteen(!) languages now: English, Swedish, French, Russian, Spanish, Portuguese, German, Polish, Italian, Croatian, Dutch, Finnish, Danish, Serbian and Hungarian.

Some of our users prefer to store their files, especially very large ones, outside 5pm – on FTP, file-share services like Dropbox, etc. They just post the links to them into 5pm (in messages or task/project description), which are automatically converted into URLs.

Files on your local network (your company public drive, for example) can also be linked, but there are limitations we wanted to make you aware of:

  • Links to files on local network will work only in Internet Explorer (in other browsers we don’t convert them to URLs, since they will not work).
  • Make sure you link to a network mapped drive (ex: U:\myfile.jpg). If you try to link to a local hard drive file (ex: C:\myfile.jpg), IE will simply not open the link due to security restrictions. Generally, you don’t have to worry about this one, since nobody else has access to your local hard drive, so it makes no sense to link to local files.

In 5pm Clients are a separate type of users that are assigned directly to the Projects and can see just those projects.

Projects can also be grouped into Groups (can be used to split project by departments, types, etc.). Many of our user though use Groups to split Projects by clients (one Group for each Client). Naturally, Clients will not see any projects in other groups that are created for other clients (since there are no projects there assigned to them), but they will still see the names of the Groups. This could be a problem, since the names can be suggestive and reveal information about other Clients.

Since it makes no sense to show the Clients the names of the Groups in which they don’t have any projects, we decided to change this behavior and from now on to hide those unrelated Groups from Clients.
